Virtual Desktops For Law Firms: Windows 365 Or Azure Virtual Desktop?

virtual desktops for law firm - cover

For most small law firms, the right virtual desktop is a Windows 365 Cloud PC for each person who needs one, alongside company laptops for everyone else. Azure Virtual Desktop earns its cost in one situation: your practice software keeps its data on a shared server, or you are retiring the server in the closet.

This is not remote access to a computer sitting in your office. A virtual desktop is a full Windows desktop that runs in Microsoft’s cloud. The lawyer sees and uses it from any computer, but client files never land on that computer.

Why Law Firms Look At Virtual Desktops

The questions we hear from small firms are practical ones. A contract lawyer starts next week and works from their own laptop. A clerk works from home three days a week. A partner switched to a Mac, and the practice software only runs on Windows. The server that runs the accounting and practice software is seven years old, and nobody wants to buy another one.

Underneath all of them is the same worry. The Law Society of Ontario expects lawyers to take reasonable steps to protect client confidentiality, including in the technology that stores client files. Our post on LSO cybersecurity requirements explains what that standard means in practice. A file on a personal laptop that the firm cannot see, secure or wipe is hard to defend.

Windows 365 Cloud PCs: The Default For Most Firms

A Windows 365 Cloud PC is one Windows desktop per person, running in Microsoft’s cloud (Microsoft, 2026). Your lawyer or clerk opens it from a Mac, a PC, an iPad or a browser through Windows App (Microsoft, 2026). Outlook, Teams, the practice software and every client file stay inside it.

Here is why it fits a small firm:

  • A contract lawyer or articling student is ready the day we assign the licence, with no laptop to courier
  • When they leave, we remove access and reassign the Cloud PC to the next person at no extra cost
  • If someone’s computer dies the morning of a closing, they sign in from any other computer and keep working
  • A lost or stolen laptop has no client files on it
  • A partner on a Mac opens Windows-only software in a window

We set Cloud PCs up at $115 per person per month at our minimum spec, month to month, before HST. Microsoft sells smaller builds, but we don’t use them, because they run too slowly for real work.

The security is in the setup. Every sign-in needs 2FA. Copy and paste, drives and USB between the personal computer and the Cloud PC are blocked, so a file cannot be dragged out of it. Email and OneDrive in a browser on that personal computer are blocked too. Our identity threat monitoring checks every sign-in for risk. See how we set up Windows 365 Cloud PCs.

Azure Virtual Desktop: For Shared Practice Software

Azure Virtual Desktop runs shared Windows machines in your firm’s own Azure subscription. It earns its place when your practice or accounting software stores its data on a server that everyone connects to, or when you want the server out of your office for good. The server and the software move to Azure, and your team works on one shared copy from anywhere.

We moved a 15 to 20 person real estate law firm from its local server to Azure Virtual Desktop when it ran out of office space and needed to bring on remote staff. You can read the full client spotlight.

Azure Virtual Desktop has limits, and you should know them before you choose it. For a small team it runs about $90 per user a month. It does not scale well, the cost grows with backups and other services, and it takes more troubleshooting than Windows 365. That is why we use it for this one job and recommend Windows 365 for everything else. Read more in when Azure Virtual Desktop makes sense.

Which One Fits Your Firm

Most firms end up with a mix. Here is how we match the option to the person:

  • Company laptops: lawyers and staff who stay long term and work all day on one machine, including when there is no reliable internet
  • Windows 365 Cloud PCs: contract lawyers, clerks on their own computers, articling students, and Mac users who need Windows-only software
  • Azure Virtual Desktop: practice or accounting software that needs a shared server, or a server you are retiring

Cloud-based practice software, such as Clio, already runs in a browser. If that is all your firm uses, you do not need a server at all. Our post on company computers vs Cloud PCs shows what each option costs over 6 months, 1 year and 3 years.

Check Your Practice Software First

Before any move, confirm with your software vendor that the product is supported on a cloud desktop, and check how its licence works when more than one person shares it. Small firms run PCLaw, Teraview, LCS, Lawyer Done Deal, QuickBooks and more, and each vendor has its own rules. We handle that conversation with the vendor, test the software in the new desktop, and confirm it works before your team moves.

What A Virtual Desktop Does Not Fix

A virtual desktop keeps client files off devices you do not control. It does not protect the rest of the firm on its own. Fake payment instructions sent in your firm’s name, a clerk who left with access still open, or an untested backup are all separate problems. They need Microsoft 365 security set up properly, email authentication, a tested backup and a real offboarding process. Our post on vendor banking email fraud shows how those payment scams work.

That is why we manage virtual desktops as part of the whole firm’s IT, not as a separate project. See how we support small law firms and how fully managed IT works.

Law Firm Virtual Desktop FAQ

Does a virtual desktop meet the LSO’s requirements?

There is no LSO certification for any product. The LSO expects reasonable steps to protect client confidentiality. A virtual desktop helps by keeping client files off computers the firm does not control. It is one control among several, alongside identity protection, device management and backups.

Can lawyers use a virtual desktop on a Mac or iPad?

Yes. Windows App runs on macOS, iPadOS, Windows, Android and in a web browser, and it connects to both Windows 365 and Azure Virtual Desktop.

Does a Cloud PC work without internet?

No. A Cloud PC needs a steady internet connection. Anyone who needs to work without reliable internet needs a company laptop.
