How To Manage Company Laptops For A Remote Team With No Office

manage company laptops remote team - cover

Buy company-owned laptops, register them with Microsoft or Apple before they ship, and manage them from the cloud with Microsoft Intune. Each laptop ships straight to the person’s home and sets itself up the first time they sign in. From then on, security, updates and support all happen remotely, and a lost or returned laptop gets locked or wiped without anyone touching it.

This is not remote control software or a spreadsheet of serial numbers. It is one standard that every laptop follows, from the day it is ordered to the day it is wiped and set up for the next person.

Let’s face it, nobody starts a business to chase a laptop back from someone who left three months ago. When your team works from home, from client sites and from three different cities, the old way of doing IT, where someone walks over to your desk, simply does not exist. Here is how we run laptops for teams with no office at all.

Why Remote Laptops Get Messy

It usually starts small. The first few laptops come from a big box store, each person sets up their own, and everyone is an administrator because that was the easy option. Updates happen when someone remembers. Files live on the desktop, in personal Dropbox accounts and in email attachments.

Then the team grows to 10 or 20 people. Nobody can say which laptops are encrypted, who still has access, or where a client file actually lives. When someone leaves, their laptop sits in a closet with company data on it, or it never comes back at all.

None of this is anyone’s fault. It is what happens when there is no standard. The fix is not more effort. It is a setup that does the work for you.

The Five Parts Of Managing Remote Laptops

1. Buy Company-Owned Laptops

Every person who signs in to company email needs a computer the company owns and controls. A personal laptop fails that test, because you cannot secure or wipe a computer you do not own. We explain why in our post on staff using personal devices for work.

For Windows, that means business editions. Windows Autopilot, the Microsoft service that sets laptops up automatically, supports Windows 11 Pro and Enterprise, not Windows 11 Home (Microsoft, 2026). For Mac teams, company MacBooks bought through Apple Business are managed the same way. We order every computer for our clients, so each one arrives ready to register. Our current price for a pre-provisioned Lenovo ThinkPad 14-inch is $2,200 plus HST, and it lasts 4 to 5 years.

2. Register Every Laptop Before It Ships

Before a laptop leaves the supplier, it is registered to your company in Windows Autopilot or Apple Business. It ships straight to the new hire’s home. When they open it and sign in with their work account, it joins your company, installs your apps and applies your security settings on its own.

With pre-provisioning, a new computer setup takes us 20 to 25 minutes. Doing the same setup by hand takes about 3 hours of labour. That is the difference between a new hire working on day one and a new hire waiting for IT. See how our new computer setups work, and how we do the same for company Macs.

3. Secure Every Laptop From The Cloud

Microsoft Intune applies the same security settings to every laptop, wherever it is. Specifically, every laptop:

  • Encrypts its drive, so a lost laptop is a hardware loss and not a data breach
  • Runs on a standard account, with no admin rights for everyday work
  • Installs Windows, macOS and app updates on a schedule we check
  • Runs endpoint detection and response (EDR) that our tools watch 24/7
  • Locks the screen when it is left alone

Then we close the door that matters most. A compliant device policy means company email and OneDrive only open on laptops you own and we manage. A stolen password alone opens nothing, which is what stops the attacks we describe in our post on vendor banking email fraud. Read more about how we use Microsoft Intune to protect employee devices.

4. Support People Wherever They Work

When something breaks, our team connects to the laptop remotely, with the person’s permission, and fixes it. Over 95% of issues are resolved remotely, so a remote team gets the same help as a team in an office. Critical issues get a response in under 30 minutes. And it is the same in-house people every time, so the person who helps your team already knows your setup.

5. Recover, Wipe And Reassign

When a laptop is lost or stolen, it is encrypted, and we lock and wipe it remotely. When someone leaves, we cut their access on their last day, wipe the laptop, and arrange the courier back. Because the laptop stays registered to your company, it sets itself up again for the next person. Re-assigning a company laptop is covered by our management fee, with no extra cost. Our post on secure employee offboarding covers the full checklist.

What About Contractors And Personal Phones?

Not everyone needs a company laptop. Contractors, interns and short-term staff can work on a Windows 365 Cloud PC, a full Windows desktop in Microsoft’s cloud that they open from their own computer. Files stay in the Cloud PC and never land on the personal device. Our post on company computers vs Cloud PCs shows what each one costs over time, and our Windows 365 page shows how we set them up.

On personal phones, we don’t enroll the whole phone. Staff sign in to Outlook, Teams and OneDrive, and Intune app protection keeps company data inside those apps. If someone leaves or loses the phone, we remove company data and leave everything personal alone.

What You Need In Place

The tools are not the hard part. Most of them come with the Microsoft 365 licence you need anyway. To manage remote laptops properly, you need:

  • Microsoft 365 Business Premium for every person, which includes Intune
  • Company-owned Windows 11 Pro laptops or company Macs
  • One work account per person, with no shared logins
  • A written standard for starting, changing roles and leaving
  • One person in your business who approves requests, which we call a Tech Approver

You do not need an office, a server or a VPN. Your team signs in with Microsoft Entra ID, files live in OneDrive and SharePoint, and every laptop is managed from the cloud.

Managing It Yourself Or Having It Managed

Some owners set this up themselves, and the tools allow it. The work is in getting every setting right, testing it, and keeping it right as Microsoft changes things every month. That is what we do. During onboarding, we look at every laptop and account you have, fix what we find, and roll out the standard. We get your setup right from the start, so the same problems stop coming back and your team can get on with their work.

Remote Laptop FAQ

Can we manage the laptops we already own?

Usually, yes. We check each laptop during onboarding. Windows laptops need Windows 11 Pro, and Windows 11 Home can be upgraded. Some older laptops cost more to fix than to replace, and we tell you which ones.

Do we need an office or a server to manage laptops?

No. With Microsoft Entra ID, Intune, OneDrive and SharePoint, everything runs in the cloud. Many of our clients have no office at all.

How long does it take to set up a laptop for a new remote hire?

With pre-provisioning, a new computer setup takes us 20 to 25 minutes before it ships. The new hire opens the box, signs in, and the laptop finishes setting itself up.
